Personal Assistant – MJ at Jumeirah

This is an exciting role for a fully conversant PA with at least one to two years experience working in a five star hotel in a similar position. You will be reporting directly to the Deputy General Manager of Madinat Jumeirah and will be responsible for ensuring the smooth running of the PA positions’ full responsibilities.

Main responsibilities for this role are as follows:

Receiving and sorting all mails for the Resort and passing them on to the necessary departments in a swift manner and follow through to ensure satisfactory completion.

* Preparation for meetings and taking minutes of meetings and drafting necessary document for distribution.

* Liaising with all department heads and colleagues in a spirit of teamwork to ensure a smooth and efficient administration of the Resort.

* Manage the GM/HM’s calendar and keep him informed of appointments and meetings scheduled.

* Liaising with travel agents on flight arrangements, personal and business.

* Arranging hotel accommodation.

* Checking arrivals lists and arranging visas for guests and liaising with the PR department for necessary documentation including rooms/restaurant reservations.

* Preparing Monthly Attendance Sheet for the Executive Office and ensuring prompt submission to the Payroll Department.

* Maintaining personal files of all Department Heads.

* Training junior colleagues on policies and procedures applicable in the Executive Office to ensure that all runs smoothly in P.A.’s absence.

* Be fully aware of the departmental standards as stated in the Standard Operating Procedure and to comply with those standards at all times.

* Communicate new or amended procedures to relevant departments/ colleagues in a timely manner, ensuring they have been understood.
